Instructions for writing an application
Applicants to thematic scholarship competitions may also apply for regular Fonds Société et culture master's and doctoral programs (B1, B2 or A2).
However, master's or doctoral students who hold a scholarship from a regular program of one of the three Fonds cannot apply to a thematic scholarship program for a study program for which they have already received a scholarship offer.
Applicants may only apply to one Fonds. Scholarshipholders may only receive a scholarship from one Fonds.
Applications that do not include all required documents by the competition deadline will be deemed ineligible by the Fonds.
3.1.1 Online forms
Only forms filled out online and transmitted electronically will be accepted.
The application form will be available no later than one month before the competition deadline
The forms may be filled out in French or English.
Two letters of recommendation
The letters of recommendation must be filled out and submitted online via the respondent's personal file by the competition deadline. Applicants must provide their respondents with their personal identification number (PIN) and application number.
For foreign respondent
A dynamic PDF form to create a hardcopy of the letter is available to foreign respondents who do not have a personal Fonds Web file or PIN (see the following section on the required documents to be submitted by mail).
3.1.2 Documents to be sent by mail
MPORTANT: Photocopies of official documents must be legible and authenticated by a commissioner of oaths or any other person authorized to do so. Any document submitted in a language other than French or English must include an official certified translation. Any missing documents require justification.
The following documents must be mailed by October 10, 2012, for the master's program and October 11, 2012, for the doctoral program
All original and authenticated documents must be received by the competition deadline.
A photocopy of a valid Québec medical insurance card or any other document proving Québec resident status as stipulated in the Health Insurance Act and the Regulation respecting eligibility and registration of persons in respect of the Régie de l'assurance maladie du Québec ?
Certified photocopies of the transcripts of all university studies, completed or not (certificate, degree, bachelor's, master's, doctorate, etc.). Official transcripts are also accepted but will not be returned to applicants.
The Fonds will also accept electronic transcript transfers through a secure system provided by the CREPUQ (Conférence des recteurs et des principaux des universités du Québec). Applicants who would like to use the service must contact their university. It is the applicant's responsibility to confirm the time it will take to process the transfer request by the university. The files must be transferred via the CREPUQ Web site by October 10, 2012, for the master's program and October 13, 2012, for the doctoral program. The Fonds will retrieve the files and attach them to the applications on a daily basis.
Transcripts for exchange programs or course equivalents.
Transcripts from outside Québec
Transcripts from outside Canada and the United States must include a short letter explaining the grading system used by the institution.
Only letters of recommendation filled out on the Fonds form will be accepted
Letters of recommendation that were not transmitted electronically : Respondents must fill out the letter of recommendation (dynamic PDF format) available on the Fonds Web site. Only letters produced on the FRQSC form will be accepted. Respondents must print and sign the letter and give it to the applicants in a sealed envelope or mail it directly to the Fonds by the competition deadline. Note that letters of recommendation sent in another format will not be entered in the applicant's evaluation file, nor will any extra pages.
Acknowledgements from editors
Acknowledgements of receipt from editors for all articles submitted and notices received from editors for articles accepted for publication (not required for published articles). The article must include the applicant's name. Submitted, accepted or in press articles will only be considered by the evaluation committee if they include an acknowledgement of receipt from the editor (letter or email).
Landed status in Canada
For permanent resident applicants within the meaning of the Immigration and Refugee Protection Act, 2001, ch. 27.
Proof of citizenship
For Canadian citizens born outside Canada, a certified copy of the original of the document proving Canadian citizenship.
Notice of deposit
Available to print only after the e-form has been sent.
Additional document for applicants who were enrolled part-time for one session or more since the date of their initial registration at the graduate level:
An attestation from the registrar's office identifying part time or unregistered sessions, where applicable.
Exceptions regarding eligibility period
Additional document for applicants wishing to avail themselves of exceptional measures concerning the eligibility period:
Official attestation of interrupted enrolment and, where applicable, a medical certificate indicating the duration of and the reason for the interruption.
Health sector applicants
For health sector applicants: Canadian Common CV (complete version) from the research director and co-director; Section filled out by the supervisor or co-supervisor (must be given to the applicant).
No appendices or file updating
No attached material or documents other than those required will be forwarded to the evaluation committee. Files cannot be updated after the competition deadline. Applicants who must update their contact information may do so by writing to firstname.lastname@example.org.
3.2 Submitting required documents
Postmarked proof of mailing
Applicants are responsible for their applications and must ensure that they are postmarked no later than October 10, 2012, for the master's program and October 11, 2012, for the doctoral program and that all required documents are included. Applicants should mail the documents several days before the deadline because there may be a gap of a few days between mail pick-up and postmarking during sorting.

3.3 Acknowledgement of receipt
In the month of December following the competition deadline, applicants will receive an acknowledgement of receipt of their application and a confirmation that their application is under assessment, if applicable.
